A real estate team’s listing-call handoff checklist

Give every listing inquiry an owner, even when the listing agent is unavailable.

01

Create an approved listing sheet

Include the public address, listing status, asking price, listing agent and approved facts. Identify who updates the sheet and how quickly withdrawn or changed listings are removed.

02

Define the fallback owner

Specify what happens when the listing agent is busy. A team queue, backup agent or callback request should have a named owner rather than disappearing into a general inbox.

03

Capture a request, not a promise

Ask for the property, preferred time and callback details. Unless the required scheduling connection is tested and access is authorized, describe the result as a showing request.

04

Map only the fields you need

Before enabling CRM writes, agree on inquiry type, source, listing reference and assignment. Test duplicates and missing listings. Keep sensitive financial information out of the first-call script.

05

Measure response quality

Review how quickly an agent acknowledges the request, whether assignment is correct and whether stale listing information caused confusion. More captured calls are useful only if someone follows up.
