The decision to make first
A prospect may leave only a first name and a property fragment, making the inquiry difficult for the team to identify or return. Define the minimum information for each request type and mark missing details clearly rather than filling them from unrelated records.
What the handoff should contain
Capture available contact details, property clues, requested next step, missing fields and the remaining channel through which staff can clarify them.
Suggested wording to approve
Example wording: “I can save the information you have provided, but the team still needs a reliable contact route or property reference to respond accurately.”
Test the difficult case
Test a dropped call, an incomplete form and a visitor who declines a phone number but provides an email address. Do not infer an address from a similarly named listing or attach the inquiry to a previous prospect solely because a name matches.
Worked example
Fictional example: A visitor leaves an email address and a partial street name but declines a phone number. The record should show an email follow-up route and an unresolved property match. It should not be marked unusable solely because phone contact is absent, nor matched to a similarly named property without a confirming detail.
Review it in operation
Review which incomplete inquiries staff could recover and improve the earliest question that would have made the request usable.
