The decision to make first
A caller can mention several listings in one conversation, and a single combined note may send questions to the wrong agents. Separate property-specific requests and preserve the caller’s priority order before deciding how the team should coordinate the follow-up.
What the handoff should contain
For each property record its identifier, question or showing preference, responsible listing route and any relationship to the caller’s other requests.
Suggested wording to approve
Example wording: “Let’s list the properties separately so the team knows which question belongs to each one. The agents will confirm any showing arrangements individually.”
Test the difficult case
Test three listings with different agents, one unidentified address and a caller who removes a property from their list halfway through. Do not assume that availability, access rules or an answer about one property applies to the others mentioned in the same call.
Worked example
Fictional example: A buyer mentions three properties, then removes one and changes the preferred day for another. The final summary needs two property-specific requests with the corrected preferences. Combining everything into one showing time would fail because the listings can have different agents, access conditions and confirmation states even though one person made the inquiry.
Review it in operation
Review whether the team can coordinate one helpful response without losing the distinct facts and confirmation states for each property.
