Property-management inquiries within a real estate team

A team that receives property-management questions may not provide management services or may use a different staff group from its sales business.

01

The decision to make first

A team that receives property-management questions may not provide management services or may use a different staff group from its sales business. Clarify the request type and use the approved service boundary instead of treating every property-related call as a sales lead.

02

What the handoff should contain

Capture property reference, caller’s relationship as stated, broad request, callback and the department or external contact the team has approved.

03

Suggested wording to approve

Example wording: “I can check the team’s approved contact route for this type of property question. This intake does not confirm that management services are provided.”

04

Test the difficult case

Test an owner seeking management services, a tenant reporting a concern and a caller confusing the brokerage with the building manager. Do not accept repair responsibility, disclose tenant information or promise that a sales agent will handle an operational building issue.

05

Worked example

Fictional example: A tenant reaches a brokerage’s public number believing it is the building manager. The assistant should clarify the business role and use any approved contact instruction without accepting responsibility for the building issue. The request should not become a buyer lead, and the caller should not be promised that a sales agent will arrange repairs.

06

Review it in operation

Review misclassified management calls and make the public service description clearer where it repeatedly causes confusion.
