Resources / Intake

Rental inquiries with a consistent first response

A rental inquiry may arrive through the same phone line as sales calls, and the assistant needs to identify the request without making eligibility judgments.

01

The decision to make first

A rental inquiry may arrive through the same phone line as sales calls, and the assistant needs to identify the request without making eligibility judgments. Use the approved rental-information and contact path consistently, leaving applications, screening and legal questions to the responsible staff process.

02

What the handoff should contain

Capture the property reference, availability question, requested showing or callback and the contact details the caller chooses to provide.

03

Suggested wording to approve

Example wording: “I can share approved public information or pass a rental inquiry to the team. Application requirements and decisions are handled through the property’s approved process.”

04

Test the difficult case

Test a rental caller asking about availability, an application question and a property outside the team’s approved information set. Do not infer eligibility or steer the caller based on personal characteristics, and do not collect sensitive application documents in a public demo.

05

Worked example

Fictional example: A rental prospect asks whether a property is available and whether their application would be accepted. The assistant can share approved availability information or request confirmation, then explain the normal application route. It should not decide eligibility or collect sensitive screening documents in the same public chat used for general property questions.

06

Review it in operation

Review whether rental inquiries reached the correct owner and received the same process explanation for comparable requests.
