The decision to make first

A caller may quote an advertisement number or portal reference that does not match the identifier used by the team’s approved listing records. Ask for another public identifying detail and retain the original reference as supplied instead of treating it as a verified internal listing ID.

What the handoff should contain

Capture the quoted reference, public address or link if available, source described by the caller and the question needing agent review.

Suggested wording to approve

Example wording: “I do not recognize that reference in the approved information. Could you share the public address or page link so the team can identify the property?”

Test the difficult case

Test a portal code, a printed-ad reference and a mistyped internal identifier that happens to resemble another active listing. Do not silently substitute a similar number or report the property unavailable simply because one reference format was not recognized.

Worked example

Fictional example: A caller quotes a portal reference that resembles a different internal listing number. Ava should preserve the quoted reference and ask for a public address or link. The test passes when the system avoids silently substituting the similar internal number, preventing an otherwise polished answer about the wrong property.
