An aging inquiry queue for a real estate team

A dashboard showing total lead count may hide older requests that no agent has acknowledged or that are waiting indefinitely for a property answer.

01

The decision to make first

A dashboard showing total lead count may hide older requests that no agent has acknowledged or that are waiting indefinitely for a property answer. Track unresolved inquiries by age and next action, with a team owner responsible for reviewing items that exceed the business’s chosen threshold.

02

What the handoff should contain

Record received time, last meaningful action, assigned owner, blocking question and the contact expectation already communicated to the prospect.

03

Suggested wording to approve

Example wording: “The team should review the oldest unresolved requests and confirm what is still needed, rather than assuming every saved lead has received a useful response.”

04

Test the difficult case

Create fictional requests with different ages and blockers and check whether the review list highlights the ones needing human attention. Do not reset the age of an inquiry merely because an automatic notification was sent or the record was opened without action.

05

Worked example

Fictional example: An inquiry has been opened several times but no agent has answered its question. Its age should still reflect the lack of meaningful follow-up rather than the most recent view. The queue highlights the unresolved action, allowing the team to distinguish a genuinely pending property answer from an inquiry that received a useful response.

06

Review it in operation

Review the reason for recurring delays and address the handoff bottleneck before adding more channels that increase the same backlog.
