Coordinating several showings in one inquiry

A prospect may ask to view several properties in one trip, but each listing can have different agent, access and scheduling requirements.

01

The decision to make first

A prospect may ask to view several properties in one trip, but each listing can have different agent, access and scheduling requirements. Capture the preferred itinerary as a coordination request and let the team confirm each appointment before presenting the whole route as settled.

02

What the handoff should contain

Record each property, preferred order, time constraints, responsible contact and individual confirmation status rather than one overall yes-or-no flag.

03

Suggested wording to approve

Example wording: “I can pass your preferred sequence to the team. Each property still needs its own availability and access confirmation before the itinerary is complete.”

04

Test the difficult case

Test three properties with one unavailable slot, a changed order and a prospect who adds another address after the first confirmations. Do not infer travel times or guarantee that all requested properties can be viewed consecutively from a list of free calendar gaps.

05

Worked example

Fictional example: A visitor requests three properties in one afternoon, but the second cannot be accessed at the proposed time. The team should see individual confirmation states and the unresolved itinerary gap. The assistant must not present the entire sequence as settled or invent travel timing simply because the other two calendar slots appear available.

06

Review it in operation

Review whether the team and prospect can see which parts of the itinerary are confirmed and which still need coordination.
