The decision to make first

An agent may be available while the property owner, occupant or access process has not yet authorized the requested visit. Treat calendar availability and property access as separate prerequisites, with an explicit owner responsible for resolving access before confirmation.

What the handoff should contain

Record property, requested time, agent availability result, access status and the authorized staff role that can approve the final arrangement.

Suggested wording to approve

Example wording: “The team still needs to confirm access to the property. Your preferred time is a request until both the schedule and access arrangements are approved.”

Test the difficult case

Test an available agent with unavailable access, a changed access condition and a caller asking to visit without the assigned agent. Do not provide entry instructions or imply authorization based on a prospect’s statement that they have visited the property before.

Worked example

Fictional example: An agent is available, but the property representative has not approved entry for the requested period. The record should show schedule availability and access approval as separate facts. A green calendar result cannot turn the overall request into a confirmed showing, and no private entry instructions should be released while approval remains unresolved.
