The decision to make first
A relocating prospect and a local agent may interpret the same requested time differently when the conversation does not explicitly identify the timezone. State the timezone with every proposed time and confirm the caller’s intended local time before saving or offering an appointment.
What the handoff should contain
Capture requested date, time, timezone, caller location only as needed for scheduling and the final normalized time shown to the agent.
Suggested wording to approve
Example wording: “To avoid a timezone mix-up, please confirm whether that time is in your local timezone or the property team’s timezone shown here.”
Test the difficult case
Test callers in two timezones, a date near a clock change and a visitor requesting an evening slot that falls on another date locally. Do not infer the caller’s current timezone solely from a phone area code or assume an old calendar preference still applies.
Worked example
Fictional example: A remote prospect asks for 4 p.m. without naming a timezone, and their phone area code points somewhere they no longer live. The assistant should ask explicitly rather than infer location. The confirmation must show the agreed timezone and date clearly to both parties, especially when their local dates or clock changes differ.
Review it in operation
Review timezone corrections and ensure confirmations display the same agreed time clearly to both the prospect and the team.
