A brief real estate handoff that preserves the question

An agent receiving a transferred inquiry needs to know the property and requested action without hearing every greeting and repeated detail from the conversation.

01

The decision to make first

An agent receiving a transferred inquiry needs to know the property and requested action without hearing every greeting and repeated detail from the conversation. Use a concise briefing that separates the caller’s question, approved listing facts and any point still awaiting confirmation.

02

What the handoff should contain

Include caller contact, property identifier, requested next step, relevant correction and whether a showing or callback has actually been confirmed.

03

Suggested wording to approve

Example wording: “This caller is asking about the identified property and the following next step. The request remains unconfirmed unless the team has explicitly accepted that arrangement.”

04

Test the difficult case

Test a corrected property address, an agent declining the handoff and a caller whose main question changes before the transfer. Do not summarize an inquiry as a qualified buyer, accepted client or confirmed appointment when the conversation did not establish that status.

05

Worked example

Fictional example: The caller first asks about one property, corrects the address and then requests an email answer instead of a showing. The agent briefing should contain the final property and actual question. A summary saying “buyer wants a viewing” would fail because it preserves an earlier assumption rather than the caller’s final requested next step.

06

Review it in operation

Ask agents which briefing fields they used and remove information that delays connection without helping them answer the actual request.
