The decision to make first
An agent’s vacation or departure can leave listing inquiries routed to an inbox or phone that no longer receives timely attention. Set a temporary or permanent reassignment with effective dates and a named backup before the absence affects customer contact.
What the handoff should contain
Record affected listings, old and new destinations, effective period, approving team lead and the verification that the replacement can receive requests.
Suggested wording to approve
Example wording: “The usual agent is unavailable for this period. I can use the team’s current contact arrangement so your inquiry reaches someone responsible for follow-up.”
Test the difficult case
Test a listing inquiry during the absence, a named-agent request and the planned return or permanent reassignment date. Do not reveal an employee’s personal absence details or keep routing to a former team member after their access has ended.
Worked example
Fictional example: An agent is away for a defined period and a backup covers selected listings. Test the route during the absence and after the planned return. The assistant may explain the approved contact arrangement without revealing personal absence details, and expired temporary assignments should not keep diverting inquiries after the original agent resumes responsibility.
Review it in operation
Review expired temporary assignments and make restoration an explicit task rather than assuming the old route will resume correctly.
