An approved listing information packet for Ava

A team may have accurate property information scattered across listing systems, brochures and agent messages, leaving the assistant unsure which version to use.

01

The decision to make first

A team may have accurate property information scattered across listing systems, brochures and agent messages, leaving the assistant unsure which version to use. Create one approved public-information packet per listing and name the person who can authorize corrections before it enters an answering workflow.

02

What the handoff should contain

Include property identifier, public address, current status, approved price, listing contact, public features and the date those facts were last reviewed.

03

Suggested wording to approve

Example wording: “I can share the property information approved by the listing team. Questions outside that information will go to the agent for confirmation.”

04

Test the difficult case

Test the packet against a current listing, an old brochure and a caller asking about a fact that none of the approved sources contains. Do not copy private agent remarks, access instructions or an unverified directory description into the packet just because they are easy to retrieve.

05

Worked example

Fictional example: The team approves a packet for 12 Example Lane with public facts and an agent contact, but no parking answer. A caller asks whether a second space is included. Ava should pass that unanswered question to the owner of the packet rather than infer a parking entitlement from a photograph or a neighboring listing.

06

Review it in operation

Review unresolved listing questions and add information only after the responsible agent approves the fact and its public use.
