HOA and building-fee questions for agent review

A prospective buyer may ask about fees or building rules that change over time or require documents the assistant does not hold.

01

The decision to make first

A prospective buyer may ask about fees or building rules that change over time or require documents the assistant does not hold. Share only current approved public figures and direct interpretation or document-specific questions to the agent and appropriate qualified advisers.

02

What the handoff should contain

Capture property identifier, the specific fee or rule question, approved source if available and the team contact responsible for confirming documents.

03

Suggested wording to approve

Example wording: “I can pass your question about building fees or rules to the listing team. They should confirm the current documents and explain where to obtain authoritative details.”

04

Test the difficult case

Test a caller quoting an old fee, one asking about a restriction and one requesting an assurance about future charges. Do not promise that a fee includes every service, infer future assessments or give legal advice about an association’s obligations.

05

Worked example

Fictional example: A caller quotes an old brochure’s building fee and asks whether it covers every service. The assistant should identify the need for current documents and agent review. It should not combine the old figure with assumptions about utilities or future charges, even if those assumptions would make the answer appear more complete.

06

Review it in operation

Review fee-related corrections and ensure old figures are removed from the assistant’s approved information rather than simply appended with a new note.
