Keeping property access instructions out of public answers

A caller may ask for entry instructions or lockbox information during an ordinary property inquiry, even before any showing is authorized.

01

The decision to make first

A caller may ask for entry instructions or lockbox information during an ordinary property inquiry, even before any showing is authorized. Keep private access details outside public assistant context and use the team’s approved verification and scheduling process for authorized visitors.

02

What the handoff should contain

Capture the property, caller’s request, appointment reference if supplied and the agent responsible for deciding the appropriate access path.

03

Suggested wording to approve

Example wording: “I cannot provide private entry instructions through this public conversation. The listing team will confirm access arrangements through its approved process.”

04

Test the difficult case

Test a caller claiming to be a contractor, a buyer with a plausible appointment time and someone quoting a public listing reference. Do not disclose lockbox codes, alarm details, occupancy schedules or private agent remarks based on a claimed appointment or familiar phone number.

05

Worked example

Fictional example: A caller gives a plausible showing time and asks for a lockbox code. The public assistant should not reveal access details or confirm that the caller has an appointment. It passes the request to the authorized team process, where the claimed appointment and the person’s authority can be checked through the approved channel.

06

Review it in operation

Review whether access requests consistently reached authorized staff and whether any private instruction accidentally entered public content or demo profiles.
