Open-house information that survives schedule changes

An open-house time can change after a page or assistant has published it, causing visitors to arrive with incorrect expectations.

01

The decision to make first

An open-house time can change after a page or assistant has published it, causing visitors to arrive with incorrect expectations. Use a dated approved event record and distinguish public event information from any separate registration or private showing arrangement.

02

What the handoff should contain

Record property identifier, event date, start and end time, timezone, public access instructions and the agent responsible for cancellations or updates.

03

Suggested wording to approve

Example wording: “The approved open-house notice lists this date and time. Please check the current notice or contact the team if you need confirmation before traveling.”

04

Test the difficult case

Test an event cancellation, a changed start time and a caller asking about the same weekday in the following week. Do not infer that an open house repeats weekly or that a registration form guarantees private access outside the published event hours.

05

Worked example

Fictional example: An open house planned for Saturday is moved to Sunday. The approved event record changes, and the old date should stop appearing in the assistant’s answers. A caller asking about “next Saturday” needs a date-specific response; the system should not assume that the event repeats every weekend after its first announcement.

06

Review it in operation

Review expired events promptly and verify that website text, assistant answers and any event links point to the same current information.
