Prioritizing real estate inquiries with approved criteria

A team needs to organize follow-up, but vague labels such as “good lead” can hide inconsistent judgments and unclear assignment decisions.

01

The decision to make first

A team needs to organize follow-up, but vague labels such as “good lead” can hide inconsistent judgments and unclear assignment decisions. Use transparent operational criteria such as requested action, existing relationship and unresolved time-sensitive coordination, subject to the team’s approved policy.

02

What the handoff should contain

Record the stated request, relevant deadline supplied by the caller, assignment reason, next action and the role authorized to override the queue.

03

Suggested wording to approve

Example wording: “The team will review the inquiry using its approved process. Ava should preserve the caller’s stated needs without assigning value from personal characteristics.”

04

Test the difficult case

Test comparable inquiries with different names and communication styles, then verify that the approved operational criteria produce consistent treatment. Do not infer priority from protected or sensitive traits, a name, accent or unsupported assumptions about purchasing ability.

05

Worked example

Fictional example: Two comparable callers ask for the same kind of property conversation using different names and speaking styles. The approved operational rule should produce consistent treatment. If a reviewer cannot explain a priority difference without relying on personal assumptions, the decision needs team review rather than being hidden inside an informal “lead quality” label.

06

Review it in operation

Review priority overrides with the appropriate team leadership and advisers so exceptions remain explainable and do not become hidden rules.
