Real estate inquiry handoffs between team shifts

A prospect’s inquiry can remain unanswered when the outgoing team member remembers the request but the incoming person cannot identify its next action.

01

The decision to make first

A prospect’s inquiry can remain unanswered when the outgoing team member remembers the request but the incoming person cannot identify its next action. Use a written handoff of unresolved work with explicit ownership transfer rather than a general recap of the day’s calls.

02

What the handoff should contain

List unacknowledged inquiries, pending property answers, unconfirmed showings, failed integrations and any visitor expectation that still needs clarification.

03

Suggested wording to approve

Example wording: “This inquiry remains open because the next action is unresolved. The incoming owner should acknowledge it before the outgoing person considers the handoff complete.”

04

Test the difficult case

Test a request arriving during changeover and an outgoing employee leaving unexpectedly, then identify who is accountable for the next response. Do not close records merely to clear a personal queue or rely on a verbal reminder as the only evidence that responsibility changed.

05

Worked example

Fictional example: The outgoing coordinator leaves an unconfirmed showing and a property question awaiting an agent’s answer. The incoming coordinator accepts both next actions and sees the prospect’s existing expectation. A vague note saying “follow up tomorrow” would fail because it does not identify which confirmation or factual response is still owed.

06

Review it in operation

Review inquiries that crossed shifts without acknowledgment and simplify the handoff around actionable decisions rather than long narrative summaries.
