The decision to make first
A general team number can receive a precise property question that belongs to one listing agent rather than whoever happens to answer first. Maintain an approved listing-to-agent map and a fallback owner for unmatched or temporarily unassigned properties.
What the handoff should contain
Include property identifier, requested action, assigned listing contact, backup route and whether the receiving person has accepted the inquiry.
Suggested wording to approve
Example wording: “I can pass this question to the team member responsible for the listing. If they are unavailable, I will use the team’s approved backup route.”
Test the difficult case
Test a current listing, a reassigned listing and a property with no approved owner, then inspect the actual destination of each request. Do not choose an agent from an old advertisement or send private inquiries to a person whose assignment has ended.
Worked example
Fictional example: A listing moves from one agent to another, while an old advertisement still names the first person. The routing map should send the current inquiry to the approved owner and preserve the caller’s reference to the advertisement. It should not continue using the former route simply because the caller asks about the old contact name.
Review it in operation
Review wrong-agent handoffs and correct the assignment source rather than creating informal exceptions inside individual conversation scripts.
