Training agents to use Ava inquiry summaries

Agents may interpret a newly formatted summary as verified qualification or a confirmed appointment when it actually contains only a prospect’s stated preference.

01

The decision to make first

Agents may interpret a newly formatted summary as verified qualification or a confirmed appointment when it actually contains only a prospect’s stated preference. Train the receiving team on the record labels, uncertainty markers and ownership rules before expanding automated capture.

02

What the handoff should contain

Prepare examples of a new inquiry, unknown property, corrected contact detail, requested showing and failed handoff with the expected agent action.

03

Suggested wording to approve

Example wording: “Treat the summary as the prospect’s inquiry and the assistant’s recorded actions. Verify the next step rather than assuming every field represents an established business fact.”

04

Test the difficult case

Ask an agent to process fictional examples without assistance and observe which labels or missing fields prevent a clear decision. Do not assume software access or a screenshot teaches staff how to handle an unresolved property question or a conditional appointment.

05

Worked example

Fictional example: An agent sees “Friday afternoon preferred” and assumes access is confirmed. Training should require the agent to identify the unresolved confirmation state and contact the appropriate coordinator. A second example marked confirmed through the tested workflow provides the contrast, teaching the team to interpret the actual record rather than infer certainty from polished prose.

06

Review it in operation

Review repeated manual corrections and update the training material whenever the record structure or approved workflow changes.
